I.J.J.A. Rules, Procedures, and Duties

Newsletter Duties

This committee is responsible for obtaining information from the different Board members and sending out a QUARTERLY (fall, winter, spring & summer) newsletter. Deadline dates should be established and placed in the first newsletter. Members at large can also submit articles to the newsletter. The newsletter needs to be submitted to the E-Board for approval and spell checking prior to being sent out. Copies of past newsletters can be obtained from the last newsletter lead.

NEWSLETTER COMMITTEE DUTIES TIMELINE

(Timelines are only suggested tools to use for those new to the Committees. However, if experienced individuals know of more efficient ways to complete the needed tasks, we are fully supportive of those ideas)

November IJJA Meeting:
Before Meeting: Find out which vendors need to be advertised in the newsletter and make sure they are in it for the amount of time they are signed up.

At Meeting: Choose Newsletter committee. In the past, this has usually been just one person. However, it would okay to have more than one person with one being the lead and having the responsibility of having the document on their computer. Decide on the dates to send out the newsletter. The first newsletter should have information on feedback about the last conference. The first newsletter should also be sent out during the winter season.

January Joint Meeting:
Before Meeting: Send out winter newsletter either before or right after this meeting. Make sure you have the most current membership list. Solicit information from other sources if needed.

At Meeting: Inform the Board of when the newsletters are going out and when they need to get in their information. Usually, you will need to continue to inform the members each time the newsletters are going out. Get the most current list of members.

March IJJA Meeting:
Before Meeting: The second newsletter should have gone out. Continue to solicit information for the next newsletter.

At Meeting: Report on newsletter status and how many vendors are advertising.

May Joint Meeting:
Before Meeting: Continue to solicit information for the next newsletter. Prepare to send out the 3rd newsletter after this meeting but prior to the next meeting.

At Meeting: Report on newsletter status and how many vendors are advertising.

June IJJA Meeting:
Before Meeting: Third newsletter should be sent out.
At Meeting: Report on newsletter status and how many vendors are advertising.

August Joint Meeting:
Before Meeting: The last newsletter, prior to the conference, is one of the most critical newsletters. This newsletter gives most of the pre information to the conference and gives our members needed information for what to expect. This newsletter goes out with the golf flyer and/or registration for the conference. This newsletter is due out August 1st. No exceptions.

At Meeting: Report on newsletter status and how many vendors are advertising.

Conference:
Prior to Conference: N/A
At Conference: N/A

After Conference:
Update these timelines by submitting change of information to Board. President will then hand it in to Web Master.
Maintain vendors for newsletter.
