Golf Duties
This committee is responsible for
obtaining quotes and approvals for the golf game played on Sunday.
This IS a self-sufficient entertainment and the committee is to
continue that tradition. The committee members are responsible for
making sure the golf tournament is advertised (via the newsletter or
e-mails to members) prior to the conference and for collecting all
monies associated with the tournament. They are also responsible for
obtaining prizes and/or trophies given out to winners of the golf
tournament.
GOLF COMMITTEE DUTIES TIMELINE
(Timelines are only suggested tools to use for those new to the
Committees. However, if experienced individuals know of more efficient
ways to complete the needed tasks, we are fully supportive of those
ideas)
November IJJA Meeting:
Before Meeting: N/A
At Meeting: Choose Entertainment Committee
January Joint Meeting:
Before Meeting: Scout out different golf courses around the conference
site. Begin gathering estimates for the various courses. Determine
amount of members who will participate dependant on last year's
participation AND the last time the conference was held in this area.
At Meeting: Decide on lead (ICA/IJJA). Gather information from other
members on your Committee to be able to exchange information. Decide,
with your committee, who will research what (i.e.. what courses,
meals, etc). It is most beneficial for members of the area to be on
this committee.
March IJJA Meeting:
Before Meeting: Find out what type of events (i.e.. meals, raffles)
the courses will allow and the cost of meals or extra needs. Attempt
to find vendors who will sponsor holes.
At Meeting: Report on all different estimates and make suggestions for
the best course, meals, etc. This means you will need to know what
others on your committee are doing that are not IJJA members.
May Joint Meeting:
Before Meeting: Communicate with your committee to decide on the
definite golf course and what will be reported during the meeting.
Continue to find sponsors and vendors for different events (i.e.. hole
in one, trophies, meal, etc). Have a rough draft for a flyer to be
accepted at the meeting.
At Meeting: Report on decided golf course (the decision should be made
by this meeting). Also report on what functions committee is working
on for the course and what vendors are possibly sponsoring at the golf
course. Present rough draft of flyer to Board members. Decide on
prizes that will be presented at the tournament. Make any votes
necessary for monitorial decisions.
June IJJA Meeting:
Before Meeting: Edit flyer for golf. Communicate with committee for
reporting purposes.
At Meeting: Report on all aspects of golf. Have a final vote on flyer
and get a copy to the treasurer.
August Joint Meeting:
Before Meeting: Send out flyer and registration to members. Start
collecting fees for golf (although many members pay on the day of
golf).
At Meeting: Report on all aspects of golf.
Conference:
Prior to Conference: Solicit the help you need for the various
functions at the golf course (i.e.. raffles, registration, etc) Decide
who will be in charge of the money (MUST be an IJJA or ICA Board
members) and make sure that person is at the golf course and in charge
of the money.
At Conference: Be at the golf course to help or play. Help set up and
break down (if necessary). Help wherever necessary.
After Conference:
Update these timelines by submitting change of information to Board.
President will then hand it in to Web Master.
Work with Treasure if s/he has any questions about billing for golf.
