I.J.J.A. Rules, Procedures, and Duties

IJJA LEAD REPRESENTATIVE
List of Duties

1. Assist the President in filling all Board positions by locating candidates and obtaining votes from entire Board.

2. Create a rooming list and send it to the Vice President for hotel rooms for scholarship recipients. Know where the overflow hotels will be at the host site.

3. Revise the scholarship form. Give a rough draft to the Board to approve by the March IJJA meeting or the May joint meeting.

4. After receiving approval from the Board, mail out the scholarship forms to the general membership on June 1st.

5. Coordinate with the President to find out how much money for scholarships will be given to IJJA and disseminate this amount by district.

6. Break out scholarships with the President. Determine costs for rooms (based on double occupancy unless otherwise stated), registration fees, speaker rooms (single occupancy), judges and elected officials (single occupancy). Determine the costs for members working within an hour of the conference site. Those members will not need rooms.

7. As scholarship forms are returned, number each one and file by district.

8. First scholarship drawing is July 1st. Second scholarship drawing is July 15th. Third scholarship drawing is August 1st. Other drawings are done as scholarships are declined and at the discretion of the board.

9. As numbers are drawn, you must check for the following:

a. Applicant is a current member of IJJA. He/she cannot send in their
membership application after sending in their scholarship application.
b. Supervisor has signed the completed scholarship application.
c. Gender and district are clear on the completed scholarship application.

10. You must email a list of scholarship recipients to the respective District Representatives who will notify the members. Any member who cannot attend must decline his/her scholarship. That scholarship will be returned to the general drawing. It CANNOT be reassigned to someone else in the agency by the agency. Only IJJA can assign scholarships.

11. Create a list with the following information of scholarship recipients by district. This list must be turned into the President by October 1st. The list must include:

a. First and last name
b. District
c. Full or partial scholarship awarded
d. Total spent in each district
e. Total spent over-all on scholarships
